TERMS AND CONDITIONS

2026 Black Play Therapy® Symposium: Reclaiming Black Childhood

Effective Date: February 1, 2026.

Please carefully read the following Terms and Conditions (“Terms”) before registering for and participating in the 2026 Black Play Therapy® Symposium (the “Symposium”) hosted by Althea T. Simpson/Unicorn Life Training (the “Organizer”). By registering for and attending the Symposium, you agree to comply with and be bound by these Terms.

  1. REGISTRATION AND PAYMENT

1.1 Registration Requirement: Registration is required to attend the Symposium. Payment of the registration fee is due upon registration.

1.2 Payment: Registration fees, deadlines, and payment methods are available on the Symposium website at www.blackplaytherapy.com.

1.3 Registration Completion: Attendees must complete the registration process, including payment of all applicable fees, by the deadlines specified on the Symposium website.

1.4 Registration Acceptance: The Organizer reserves the right to refuse or cancel any registration at its sole discretion.

1.5 Continuing Education Certificates: Continuing education (CE) certificates are available for purchase separately for $35. CE credits are offered for mental health professionals only and are subject to approval by licensing boards. The Organizer does not guarantee acceptance of CE credits by any licensing authority.

  1. CANCELLATION AND REFUND POLICY

2.1 Written Request Required: All cancellation and refund requests must be submitted in writing to [email protected].

2.2 Refund Schedule:

  • Until April 30, 2026: 75% refund of registration fee, less a $50 administrative fee
  • May 1 – June 12, 2026: 50% refund of registration fee, less a $50 administrative fee
  • After June 12, 2026: No refunds will be issued

2.3 Processing Time: All approved refunds will be processed within 14 business days and issued in the original form of payment.

2.4 Non-Refundable Items: CE certificate fees are non-refundable once purchased.

  1. REGISTRATION TRANSFER POLICY

3.1 Transfer to Another Person: Attendees may transfer their registration to another person up to 7 business days before the Symposium start date. Transfer requests must be submitted in writing to [email protected] and include the new attendee’s name, contact information, and credentials. No administrative fee applies to registration transfers. Transfers requested within 7 business days of the Symposium may not be accommodated.

3.2 One-Time Courtesy Transfer to 2027: Attendees unable to attend in 2026 may request a one-time courtesy transfer to the 2027 Black Play Therapy® Symposium. Transfer requests must be submitted in writing before July 6, 2026. Registration fees paid for 2026 will be applied to 2027 registration. This courtesy transfer is available one time only and is non-refundable once applied to 2027.

3.3 Substitute Requirements: All substitute attendees must meet registration requirements and agree to these Terms and Conditions.

  1. CODE OF CONDUCT

4.1 Professional Behavior: All attendees are expected to conduct themselves professionally, respectfully, and ethically at all times during the Symposium.

4.2 Prohibited Conduct: Harassment, discrimination, intimidation, disruptive behavior, or any inappropriate conduct will not be tolerated. This includes but is not limited to:

  • Verbal, physical, or written harassment based on race, gender, sexual orientation, disability, religion, or any other protected characteristic.
  • Disruptive behavior that interferes with presentations, sessions, or other attendees’ experience.
  • Unwelcome physical contact or attention.
  • Inappropriate or offensive comments or imagery.

4.3 Reporting Violations: Attendees who witness or experience Code of Conduct violations should report them immediately to Symposium staff or via email to [email protected].

4.4 Consequences: Violation of the Code of Conduct may result in removal from the Symposium without refund and prohibition from future events.

  1. PHOTOGRAPHY, VIDEOGRAPHY, AND RECORDING RELEASE

5.1 Consent to Recording: By attending the Symposium, attendees acknowledge and consent that the Organizer, its employees, contractors, and authorized representatives may photograph, video record, or audio record attendees, and may capture their image, voice, likeness, statements, and participation in Symposium activities.

5.2 Use of Recordings: Attendees grant the Organizer a perpetual, worldwide, royalty-free, non-exclusive license to use, reproduce, modify, publish, distribute, and display such photographs, videos, and recordings for:

  • Promotional purposes (including websites, social media, brochures, and advertisements).
  • Educational purposes (including training materials and presentations).
  • Documentary purposes.
  • Any other lawful purpose related to the Symposium or the Organizer’s mission.

5.3 No Compensation: Attendees acknowledge they will receive no compensation for the use of their image, voice, or likeness and waive any right to inspect or approve the finished product.

5.4 Opt-Out Option: Attendees who do not wish to be photographed or recorded must notify the Organizer in writing at [email protected] at least 7 days before the Symposium. The Organizer will make reasonable efforts to accommodate such requests, but cannot guarantee that attendees will not incidentally appear in group photographs or recordings.

5.5 Attendee Recording Restrictions: Attendees may not audio record, video record, photograph, or otherwise capture Symposium presentations, sessions, or materials without express written permission from the Organizer and the presenter. Unauthorized recording may result in removal from the Symposium without refund.

5.6 Social Media Sharing: Attendees may share their own personal experiences and general impressions on social media, but may not share proprietary content, presentation materials, or detailed session content without permission.

  1. LIABILITY AND ASSUMPTION OF RISK

6.1 Limitation of Liability: To the fullest extent permitted by law, the Organizer, its officers, directors, employees, volunteers, presenters, sponsors, and affiliates (collectively, the “Released Parties”) shall not be held liable for any loss, injury, damage, illness, death, or theft of personal property sustained by attendees arising out of or in connection with attendance at the Symposium.

6.2 Assumption of Risk: Attendees acknowledge and assume all risks associated with attending the Symposium, including but not limited to risks related to travel, health conditions, personal injury, property damage, and illness (including communicable diseases).

6.3 Personal Responsibility: Attendees are solely responsible for their own well-being, belongings, and compliance with all applicable health and safety guidelines.

6.4 Medical Emergency: In the event of a medical emergency, attendees authorize the Organizer to secure necessary medical treatment and agree to be financially responsible for any medical costs incurred.

6.5 Indemnification: Attendees agree to indemnify, defend, and hold harmless the Released Parties from any claims, damages, losses, or expenses (including attorney fees) arising from their attendance at or participation in the Symposium.

  1. FORCE MAJEURE

7.1 Events Beyond Control: The Organizer shall not be responsible for delays, cancellations, modifications, or disruptions of the Symposium due to circumstances beyond its reasonable control, including but not limited to:

  • Acts of God (natural disasters, severe weather, pandemics, epidemics).
  • War, terrorism, or civil unrest.
  • Labor disputes or strikes.
  • Government orders, regulations, or restrictions.
  • Venue unavailability.
  • Utility failures or infrastructure problems.

7.2 Organizer’s Rights: In the event of force majeure, the Organizer may, at its sole discretion, cancel, postpone, or modify the Symposium. The Organizer will make reasonable efforts to notify attendees of such changes.

7.3 Refund Policy for Force Majeure: If the Symposium is canceled due to force majeure, attendees may receive a full or partial refund, credit toward a future symposium, or access to virtual programming, at the Organizer’s sole discretion.

  1. CHANGES TO SYMPOSIUM

8.1 Right to Modify: The Organizer reserves the right to make changes to the Symposium schedule, program content, presenters, format (in-person, virtual, or hybrid), or venue as necessary.

8.2 Notification: The Organizer will make reasonable efforts to notify attendees of significant changes via email and updates on the Symposium website.

8.3 No Liability: The Organizer shall not be liable for any changes to the Symposium, and such changes do not constitute grounds for refund.

  1. EVENT ACCESS AND SECURITY

9.1 Access Requirements: Attendees must present valid registration confirmation and government-issued photo identification to access Symposium events and sessions.

9.2 Security Compliance: Attendees must comply with all security measures implemented by the Organizer or venue, including bag checks, badge checks, and identity verification.

9.3 Unauthorized Access Prohibited: Unauthorized access to Symposium events, sessions, materials, or restricted areas is strictly prohibited and may result in removal without refund and potential legal action.

9.4 Right to Deny Entry: The Organizer reserves the right to deny entry or remove any attendee who poses a security risk, violates the Code of Conduct, or fails to comply with access requirements.

  1. INTELLECTUAL PROPERTY

10.1 Ownership: All Symposium materials, presentations, handouts, videos, slides, content, and intellectual property remain the exclusive property of the Organizer and individual presenters.

10.2 Restrictions: Attendees may not reproduce, distribute, transmit, display, publish, modify, create derivative works from, or commercially exploit any Symposium materials without express written permission from the Organizer.

10.3 Personal Use Only: Materials provided to attendees are for personal educational use only and may not be shared, posted online, or distributed to third parties.

10.4 Trademarks: “Black Play Therapy” and “Black Play Therapy Symposium” are registered trademarks. Unauthorized use of these trademarks is prohibited.

  1. CONTINUING EDUCATION

11.1 CE Eligibility: Continuing education credits are available for licensed mental health professionals who meet the requirements set forth by the approved CE providers (APT, ASWB, NBCC).

11.2 Attendance Requirements: Attendees must attend the full duration of sessions, complete any required evaluations, and comply with all CE provider requirements to receive credits.

11.3 CE Certificate Fee: CE certificates must be purchased separately for $35. This fee is non-refundable.

11.4 Responsibility for Licensure Compliance: Attendees are solely responsible for determining whether CE credits meet their specific licensing board requirements. The Organizer makes no guarantees regarding acceptance of credits by any licensing authority.

11.5 CE Provider Information:

  • Social Work CEs: Unicorn Life Training #2031, ASWB ACE provider (approval period: 01/24/2025 – 01/24/2026)
  • Professional Counselor CEs: NBCC Approval No. SP-4918
  1. PRIVACY AND DATA USE

12.1 Data Collection: The Organizer collects personal information from attendees, including name, email address, professional credentials, and payment information, for registration and event management purposes.

12.2 Privacy Policy: Attendees’ personal data will be collected, stored, and used in accordance with the Privacy Policy published on the Symposium website.

12.3 Third-Party Sharing: The Organizer may share attendee information with third-party service providers (payment processors, CE providers, venue) as necessary to facilitate the Symposium.

12.4 Communications: By registering, attendees consent to receive communications from the Organizer regarding the Symposium and future events. Attendees may opt out of marketing communications at any time.

12.5 Data Security: While the Organizer implements reasonable security measures to protect personal data, attendees acknowledge that no electronic transmission or storage is completely secure.

  1. NETWORKING AND ENGAGEMENT

13.1 Networking Opportunities: Attendees are encouraged to participate in networking and educational opportunities provided during the Symposium.

13.2 Professional Boundaries: Attendees must maintain appropriate professional boundaries during all networking activities and interactions.

13.3 Contact Information Sharing: Attendees may share their contact information with other attendees at their own discretion. The Organizer is not responsible for unsolicited communications between attendees.

  1. ANTI-DISCRIMINATION POLICY

14.1 Inclusive Environment: The Symposium is committed to providing an inclusive, welcoming, and discrimination-free environment for all attendees regardless of race, ethnicity, national origin, religion, gender, gender identity, sexual orientation, age, disability, or any other protected characteristic.

14.2 Accessibility: The Organizer will make reasonable efforts to provide accessibility accommodations for attendees with disabilities. We will make every effort to honor Reasonable Accommodation requests. We request that the accommodation notification be submitted to [email protected] at least 14 days before the Symposium.

  1. GOVERNING LAW AND DISPUTE RESOLUTION

15.1 Governing Law: These Terms shall be governed by and construed in accordance with the laws of the Commonwealth of Virginia, without regard to its conflict of law provisions.

15.2 Venue: Any legal action or proceeding arising out of or relating to these Terms or the Symposium shall be brought exclusively in the state or federal courts located in Fairfax County, Virginia.

15.3 Dispute Resolution: The parties agree to first attempt to resolve any disputes through good faith negotiation before pursuing legal action.

  1. SEVERABILITY

If any provision of these Terms is found to be invalid, illegal, or unenforceable, the remaining provisions shall continue in full force and effect.

  1. ENTIRE AGREEMENT

These Terms and Conditions, together with the Privacy Policy, Code of Conduct, and Cancellation Policy published on the Symposium website, constitute the entire agreement between attendees and the Organizer regarding the Symposium.

  1. AMENDMENTS

The Organizer reserves the right to modify these Terms at any time. Updated Terms will be posted on the Symposium website, and continued participation in the Symposium constitutes acceptance of any modifications.

  1. ACKNOWLEDGMENT AND ACCEPTANCE

By registering for and attending the 2026 Black Play Therapy® Symposium: Reclaiming Black Childhood: Disrupting Cognitive Biases in the School-to-Prison Pipeline, attendees acknowledge that they have read, understood, and agree to comply with these Terms and Conditions in their entirety.

Attendees further acknowledge and agree to comply with all Symposium policies, including but not limited to the Cancellation and Refund Policy, Registration Transfer Policy, Code of Conduct, Photography and Recording Release, and Privacy Policy, as published on the Symposium website.
